Kenrick Corporation is Hiring a Portfolio Manager Near Henrietta, NY

Job Summary:
Portfolio Managers will assist the Portfolio Director with daily tasks and special projects while overseeing an assigned portfolio of properties and learning the trade. Portfolio Managers act as a liaison between the community association board, homeowners, and vendors. This position requires an individual to complete tasks and projects, be a customer service champion, and operate a portfolio of communities while having a positive attitude. Portfolio Managers will assist in the management of daily, weekly, monthly, and quarterly tasks, as well as plan for and facilitate board/budget/annual meetings.
Daily Tasks:
  • Review voice mails and record actions on property action list 
  • Take appropriate action based on call needs
  • Review work order tickets and assign to appropriate parties
  • Review progress on tasks assigned from board meetings for completion/status
  • Communicate meeting dates with admins
  • Review emails and remain current with requests and document action taken/needed
Monthly tasks
  • Attend all board and post board meetings and review post board task list 
  • Responsible for making sure Post Board task list is completed in the designated time period
  • Distribute tasks to responsible parties in accordance with the post board procedure
  • Compile all completed tasks in the action item list on shared drive
  • Follow up on tasks not completed
  • Meet with Portfolio Director to review the completed list
Seasonal tasks
  • Bidding with specifications per board/PM
  • Prepare a draft of the bid specifications and forward to Portfolio Manager for approval
  • Complete process of bid specifications in accordance with procedures
  • Send bids specifications to the appropriate contractors
  • When bids received, log bids on spreadsheet for board review
Contracts:
  • With approved bids, prepare contract, send to contractor and board president for signature
  • Save contracts into the shared drive. 
  • Load fully executed contracts into the database for specific vendor and property
Knowledge of Properties and Budgets:
  • Obtain a working knowledge of the properties through reviewing operating documents on the shared drive. 
  • Assist with special projects, reserve schedules
  • Gather all pertinent financial information needed to complete annual budget under direction of Portfolio Manager
  • Participate in planning and development of budget for properties managed
  • Attend budget meetings with boards/homeowners.
Insurance Claims:
  • Review of initial claims from Portfolio Managers
  • Establishing a tracking system to follow up on claims
  • Initiating payment to Kenrick Corporation for submitting and monitoring insurance claims
  • Work with Accounting Department to advise them of claim and forward required information
  • Notify CEO of any current or potential insurance claims
Annual Meetings
  • Communicate annual meeting dates with Administrative Assistants and keep the shared calendar up to date.
  • Notify Administrative Assistants of pre annual meeting timelines, processes and mailings. 
  • Coordinate with Administrative Assistants for completion of packets and materials needed for annual meeting
Qualification Requirements:
Home Owner Association (HOA) experience desired. Property management experienced needed. Knowledge of HOA's, their role within a community in administrating association documents, policies, rules, and regulations required. Strong organizational, communication, and computer skills required. Detail oriented, self-motivated with the ability to work as a team, as well as independently. Ability to meet deadlines and complete projects in the time allotted. Overtime may be required.
